Last year, our front-end team organized and successfully hosted a two-part hackathon. A hackathon is a collaborative event in which a group of people gathers in one place to work together on a software or hardware project. The goal is to find useful and creative solutions to an existing problem or to produce functional software or hardware products within a specified timeframe. The work phase can last anywhere from a few hours to several days.<\/p>\n\n\n\n
Initial Situation<\/h3>\n\n\n\n
Since day-to-day project work often leaves little room for side projects, we give our specialized teams time to pursue innovative ideas. Our front-end team decided to organize an internal hackathon\u2014our first one. In doing so, they were able to benefit from the agile culture practiced in our company and adapt it to their own needs.<\/p>\n\n\n\n<\/figure>\n\n\n\n

\u201eFor me, the hackathon was a welcome change from my daily work routine. Breaking away from the usual Scrum principles used in projects brought a breath of fresh air to the app\u2019s development. On top of that, there was a real sense of pragmatism, where we relied more on direct discussions than on the workflows of the Jira board. All in all, a great experience. 10\/10, would do it again!\u201c<\/p>\n\n\n\n
Planning & Preparations<\/h3>\n\n\n\n
To form the hackathon team, the front-end team brought in reinforcements from our UXD department as well as one of our Scrum Masters so they could draw on a broad pool of expertise. However, before the team could dive into the implementation, a few important steps had to be taken.<\/p>\n\n\n\n<\/figure>\n\n\n\n

\u201eAt first, I didn\u2019t think we\u2019d be able to achieve such an impressive result in the end, but thanks to good planning, teamwork, and motivation, we made it happen. This experiment was very rewarding for me and my team, and it was a lot of fun to work with such great people.\u201c<\/p>\n\n\n\n
In an initial workshop, the team decided on a format consisting of two 2-day sessions, each lasting 8 hours, with a one-month break in between, including a retrospective. The theme of the hackathon was also determined during this session. After a lively discussion, it quickly became clear that the goal was to develop a product that would make everyday work easier for all employees. Under the guidance of one of our Scrum Masters, ideas were presented in elevator pitches, which were then voted on. The team chose to digitize our commute survey. Since 2019, our Sustainability Guild has been using this survey to determine our company\u2019s annual CO2 consumption.<\/p>\n\n\n\n
Next, we moved on to the requirements analysis phase, during which we coordinated with the stakeholders. The Sustainability Guild was contacted to determine which features the tool would need to function properly and enable subsequent reporting. Management was also involved to define the technical framework for the intended solution.<\/p>\n\n\n\n
Based on this information, a digital survey was created to optimize the commute survey for all employees. The survey revealed that the majority of our employees prefer a web application. The results were analyzed, summarized, and prepared for the hackathon.<\/p>\n\n\n\n
During a final preparatory meeting, the last details for the hackathon were worked out. The team discussed questions regarding the venue and the schedule for the day, including the start time, end time, and lunch. Ultimately, the team agreed to hold the hackathon at our office.<\/p>\n\n\n\n
To work as efficiently as possible, the team opted for the MEAN stack. MEAN stands for the four main technologies that make up the stack: MongoDB, Express, Angular, and Node. The main advantage of this is that all these technologies use a single programming language (JavaScript), which makes development much easier. In addition, initial discussions were held with our UXD team, and user stories were created in Jira to maintain a clear overview of the status of tasks throughout the hackathon.<\/p>\n\n\n\n
Since it might not have been possible to develop a fully functional web application in such a short time, the team decided to develop an MVP (Minimum Viable Product). This is the first minimally functional iteration of a product. An MVP can be particularly helpful in time-sensitive projects for achieving quick and effective results.<\/p>\n\n\n\n<\/figure>\n\n\n\n

\u201eFor me, the internal hackathon was a great experience. The team organized itself very well in a very short time, so we were able to get right to work. Personally, I found that starting from scratch was a wonderful opportunity to try out certain techniques and understand different approaches to solving problems.\u201e<\/p>\n\n\n\n
With these important steps under their belt, the hackathon team was now able to focus entirely on organizing the hackathon.<\/p>\n\n\n\n
Implementation<\/h3>\n\n\n\n
Right on time at 9:00 a.m., the hackathon team met in one of our offices. The UXD team presented their initial sketches and the corresponding features of the web application, which were then discussed as a group. Together, they defined a database schema and then got right to work on programming. Since the decision had been made in advance to create only sketches rather than finished designs, these were implemented live during the hackathon. After lunch together, the team worked on the web application until the early evening hours.<\/p>\n\n\n\n<\/figure>\n\n\n\n

\u201eIt was really fun to work under such tight deadlines and see what's possible in such a short time, despite\u2014or perhaps because of\u2014some compromises.\u201c<\/p>\n\n\n\n
On the second day, too, everything went largely according to plan, so we were able to head into the one-month break with peace of mind. This break was used to conduct a retrospective led by one of our Scrum Masters. The goal is to identify weaknesses and challenges in project implementation and to integrate strengths and resources within the project. The goal is to continuously improve teamwork. The identified weaknesses can then be specifically addressed and optimized to ensure efficient and successful project implementation.<\/p>\n\n\n\n
In addition to the many positive aspects, our hackathon team also came away with some suggestions for improvement for the second part of the hackathon. Despite being in close proximity, there was less active discussion about work progress and interim results than initially expected. For the next phase, the team agreed to provide regular updates on the steps completed, thereby ensuring that all team members maintain a continuous overview of the project\u2019s progress. Other points identified during the retrospective included the desire for clearly defined objectives at the start of each day and a joint project review after the second day.<\/p>\n\n\n\n<\/figure>\n\n\n\n

\u201eI joined halfway through and was surprised at how quickly and efficiently the onboarding process went in this context, and how quickly I was able to get up to speed. Thanks in large part to the extremely short lines of communication, I was practically right in the thick of things from the start.\u201c<\/p>\n\n\n\n
Armed with this new knowledge, we dove into the second part of the event with renewed energy. The morning meeting, led by the hackathon organizers to set objectives, ensured an efficient and structured workflow, as did the regular progress updates. About 30 minutes before the end of the hackathon, we paused coding and evaluated the project together. Thanks to the decision to develop an MVP, our hackathon team was able to implement all the goals we had set for ourselves.<\/p>\n\n\n\n<\/figure>\n\n\n\n

\u201eThe hackathon freed us from our stagnant processes and helped us bond as a team very quickly. I was also surprised by the momentum we built, which allowed us to accomplish so much in such a short time.\u201c<\/p>\n\n\n\n
A follow-up is already in the works, and our first internal hackathon has certainly made quite a splash throughout the company. The success of implementing an MVP-based web application in such a short time has inspired others as well, and it seems that employees will soon be gathering more often at our offices for events of this kind.
